How to create or add companies to a list


To create a new list, you need to decide a name to identify it with (special characters like "/" are to be avoided):

  • from the "Your lists" page, simply write the name of the list in the text box at the top left of the page;

  • click on the "Create" button.

The new list will be visible on the left of the screen.



Alternatively, you can create a list directly on the search page, when adding companies to the list:

  • click the "Add x companies to" button, where x is the number of search results and enter the name of the list you want. At this point, by clicking on the "Create" button, the list will be created and compiled with the number of companies present in this search;

  • at this point the name of the list, in which the companies have been inserted, will be present.




How to display a list


You can view a list either from the search page or directly from the "Lists" page.

If you are inside the search page, simply select the desired list in the "Lists" filter, which is located at the bottom of the search filters sidebar.

If, on the other hand, you are on the "Lists" page, simply click on the name of the individual list: you will return to the search page, which will show the companies on that list.



Using the lists


To access to the "Your lists" page, simply click on the "Lists" menu item at the top of the screen. There are three different areas:

  1. The existing lists, with the number of leads, on the left side of the page;

  2. Exports of lists already made, on the right side of the page;

  3. A text box, at the bottom of the page, to create a new list;

  4. Your imports - on the bottom right, to download a template in Excel to be used to import a list of companies




How to export a list


From the "Your lists" page, simply locate the list you want to export, click on the icon representing the drop-down menu and select the "Export" item from the menu.



A modal window will appear with some useful information to remember.



Once you have clicked the "Export list" button, waiting a few moments, you will see the download of the file containing the list activated, if the list contains a few dozen elements. If the list contains a large number of companies, an email will be sent as soon as the list is ready to be downloaded.

The export of this list is now present in the area to the right of the "Your exports" page.

  • each export is a static copy of the selected list, extracted at a given moment, recorded in the "Export date" column;

  • access for a new download on the "download" item, does not use any new credit;

  • the data present in Atoka are constantly updated: these exports are outdated copies of that data, referring exactly to the export date.

  • if the same company is added to the same list, even at different times, the company is entered only once. Duplicate credits will not be consumed when exporting the list;

  • if a company has been added to different lists, credits will be consumed for each updated export of those lists in which it has been inserted. At each export, the data extracted on the company is the version updated at that specific moment. If you download a list already exported from the "Your exports" area (on the right of the screen), additional credits will not be consumed. In fact, the data exported and already included in the credits counted in that export are being downloaded.




How to import a list


On the “Lists” page you can find the "Your imports" tab on the bottom right. In this tab click on the item "Download the input file template" (which at that point appears underlined) to download a template in Excel to be used to import a list of companies. 

 

 

Once the Excel file has been downloaded, the Fiscal code or VAT number of the companies that make up the customer list of interest must be entered in the appropriate cells. 

 

 

Once the Excel file has been compiled, you have to name it, save it and upload it to the "Your Imports" tab by clicking on "Select a file".

Once the file has been selected, click on "Import" to proceed (note: the list can contain a maximum of 15,000 VAT numbers).

In a period of time proportional to the length of the list, the Excel file is loaded into Atoka (the system reports that the upload has been done by displaying, in the row of the file of interest, a check in the "Status" column).  

 

 

At that point the user can start to work. Attention: if there is a wrong or incomplete data in the list (for example a VAT number with a missing number) you can view the error by clicking on the "(report)" in the "Status" column and downloading the Excel file reprocessed by the system (next to the incorrect VAT number the "not-matched" note appears).  

 

 

You will find your companies in the form of a list enriched with data from Atoka under “Your lists” on the left side of the page.  

 


How to exclude one or more lists from the search results


You can select one or more lists to exclude them from the results of the current search. After selecting a list from the "Your lists" menu, you can exclude its companies from the results by clicking the EXCLUDE button that appears by moving the mouse over the number of companies in the selected list. The selected list (or lists) will therefore be excluded from the search results.


Already exported lists: why are they important
